Petty cash: float setup, records and reconciliation

A simple, auditable petty cash process covering float size, vouchers, the imprest system, reconciliation and common weaknesses.

Why petty cash still needs a process

Petty cash covers small incidental payments where a card or bank transfer is impractical. The amounts are small, which is exactly why controls slip. Poorly documented cash is a frequent source of audit exceptions and misclassified expenses.

The imprest system

Under the imprest system the float is set at a fixed amount, for example 300 in local currency. Spending is supported by vouchers and receipts. At top-up, the reimbursement equals the total spent, restoring the float to its original level.

Cash on hand + Vouchers held = Agreed float

If that equation fails, the difference must be investigated and recorded, not absorbed quietly.

A workable routine

  1. Set a float that covers roughly one month of small payments.
  2. Nominate one custodian and one independent reviewer.
  3. Require a dated voucher with purpose, amount and receipt for every payment.
  4. Post expenses to the correct expense accounts, not to a single miscellaneous account.
  5. Reconcile and top up on a fixed schedule.
  6. Count cash on a surprise basis at least once per quarter.

Common weaknesses

  • IOUs or staff loans taken from the float.
  • Missing receipts approved after the fact.
  • Personal and business spending mixed together.
  • Cash used to pay suppliers who should be invoiced.
  • Tax-relevant expenses recorded without enough detail to support a deduction.

When to retire the float

Many businesses now replace petty cash with prepaid or virtual cards that create an electronic record automatically. If small cash payments remain unavoidable, keep the float, the vouchers and the reconciliation. Whatever the method, the expense should reach the ledger with a document attached.
