Choosing accounting software: QuickBooks, Sage and what to check

How to evaluate accounting software such as Intuit QuickBooks and Sage, the features that matter by business size, and migration pitfalls.

Start with the work, not the brand

Most accounting packages record transactions, reconcile bank feeds and produce statements. The differences appear in the details: multi-currency handling, inventory, project costing, payroll, approval workflow, reporting flexibility and the quality of the data export.

Widely used options

  • Intuit QuickBooks: broad small-business coverage, large app marketplace and a wide pool of trained bookkeepers.
  • Sage: a long-established family of products, from Sage Business Cloud Accounting and the former Sage One line through to mid-market systems.
  • Xero: strong bank feeds and a large accountant ecosystem.
  • Zoho Books, FreshBooks and similar tools: often a fit for freelancers and service businesses.

Product names, tiers and pricing change frequently, so verify current specifications with each vendor before deciding.

An evaluation checklist

  1. Does it handle your currencies, tax regimes and filing formats?
  2. Can your accountant work in it without extra licences?
  3. How good is bank and card feed coverage in your country?
  4. Can you export the full general ledger and trial balance, not just summaries?
  5. Does it support approvals, user permissions and period locking?
  6. What are the real costs at your transaction volume, including add-ons?

Migration pitfalls

Migrate on a clean period boundary. Reconcile every account first, agree opening balances to the closing trial balance of the old system, migrate open receivables and payables item by item rather than as a lump total, and keep the old system readable for the statutory retention period. Run a short parallel period before switching off the previous tool.
